WhatsApp Business API for building materials

Your dealers read WhatsApp. They ignore everything else.

Order updates, quotations, payment reminders and enquiries — on the one channel your dealers, contractors and customers actually open. Set up for how tiles, sanitaryware, adhesives, pipes and stone businesses really work.

No per-message markup. You pay Meta’s rates; we add nothing on top.

Sound familiar

Three salespeople, three phone numbers, no sales process

Enquiries live on personal handsets, and leave when the salesperson does. Your office answers “where is my order” all day. Dealers won’t open the portal you built them, but they’ll answer a WhatsApp message in four minutes.

Meanwhile the WhatsApp you’re using is the free Business app — one phone plus four linked devices, 256 contacts per broadcast, and delivery only to people who saved your number. Most of your customers never did.

What changes

Six things that stop costing you time

Nobody answers “where is my order” again

Confirmation when the order is accepted, a message when it dispatches with vehicle details, one on delivery. Triggered by your own system, so no one is copying a number off a screen.

The showroom visitor stops being anonymous

A code beside the display opens WhatsApp, the customer registers, and your catalogue reaches their phone before they leave. Their details are yours, not one salesperson’s.

Dealers get answers without opening anything

Stock, scheme balance, order status — on the app they already have open, rather than the portal they never log into.

Payment reminders happen without the awkward call

A statement before the due date, a short reminder after it. Neutral and automatic, which is exactly why it works better than a person chasing.

Quotations reach the customer while they still care

Sent as a PDF the moment it is ready, with a follow-up in three days if there is no reply.

Enquiries that went quiet come back

Building materials projects run for months. A short sequence over several weeks, referencing what the customer actually looked at, catches the one whose project simply moved.

Automated enquiry handling

Someone messages at 9pm. Your team is at home. The customer still gets an answer.

Most enquiries arrive outside working hours, or while your team is with someone else. Without a bot they wait — and a customer who waits messages your competitor too.

A bot answers immediately, works out what the person needs, collects the right details, and either resolves it or hands a properly briefed enquiry to the right person in the morning. Each branch collects what a person would have had to ask for, so nothing needs a second conversation to become useful.

  • General enquiryCaptures name, city and what they are asking about, then routes it to your sales team.
  • Request a catalogueSends the catalogue as a PDF straight into the chat, and records who asked for it.
  • Product informationWalks the customer to the right product, then sends specifications or a data sheet.
  • Find a dealerAsks for a pincode and returns the nearest dealer’s name, address and number.
  • Track an orderTakes an order or invoice number and returns its current status and expected delivery.
  • Raise a complaintCaptures the order reference and the issue, then creates a ticket and confirms it. Coming

The bot knows when to stop. Anything it cannot handle goes to a human, with everything the customer has already said attached. A bot that keeps trying is worse than no bot.

When you need more

The parts that depend on your business

The platform and your bot flow are included. These are priced separately, because what they involve depends entirely on what you already run.

Architect and professional registration

We give you a QR code for your stand, your showroom or your printed material. An architect scans it, a short registration form opens, and once they have registered your catalogue downloads straight to their phone.

They get what they came for. You get a named lead with their practice, city and what they were looking at — rather than a business card in a box.

CRM and ERP integration

A conversation is only useful if it becomes a record. We connect the platform to the system your team already opens, so the enquiry the bot captured at 9pm arrives as a lead with the name, pincode, product interest and conversation attached — and dispatch updates fire from your real order data rather than from someone retyping a vehicle number.

If you run Sales360, it is already connected. Anything else we integrate; building those systems is the rest of our business.

AI product assistant

The menu bot handles the enquiries that repeat. An AI assistant handles the ones that do not — a customer describing a problem in their own words, or asking which adhesive suits their substrate.

It answers from your own catalogue, specifications and documents rather than from general knowledge, and hands over to a person when it is out of its depth. WhatsApp permits business assistants for support and sales, not general-purpose ones, so it answers about your products and nothing else.

Dealer locator setup

We load your dealer list against pincodes so the bot can answer “where can I buy this” in seconds, at any hour, without anyone at your office looking it up.

The reply carries the dealer’s name, address and number, and can include opening hours or a map link. Where several dealers cover a pincode, we set the order — by territory, by tier, or by who stocks the range being asked about.

You also get to see what your dispatch data cannot: which pincodes people are searching from, including the ones where you have no dealer at all. That is a map of where to appoint next.

Additional bot flows

One flow is included. More — a separate journey for architects, a returns process, an onboarding sequence for new dealers — are quoted on what they involve.

Migration from another provider

Already on another platform? We move the number, rebuild the templates and get you live without losing your existing setup.

Our honest advice on AI

Start with the menu bot. Every AI reply is a chargeable message, so an assistant that sends four messages where a menu sends one costs four times as much. Add AI when your enquiries genuinely vary enough to need it — most do not.

What you get

The platform

  • Shared team inbox — several agents, one number, every conversation logged
  • One automated bot flow, built with you
  • Template management and submission
  • Automation builder — trigger a sequence from a field change or an incoming message
  • Contact management with tags and segments
  • Broadcast campaigns to opted-in contacts
  • WhatsApp OTP verification
  • Reports — delivery, read rates, campaign performance, agent activity
  • API and webhooks for your own systems
  • Coming: complaint capture and ticketing

The difference

We know what a dispatch message needs to say

Every provider gives you a login and a blank template list. The project then stalls in the same place every time: nobody at your company knows what to write, Meta rejects the first attempts on category rules, and by the time anything is approved the enthusiasm has gone.

We set your messages and flows up for you, written for how your trade talks to its customers — because we build dealer systems, catalogues and sales software for this industry and have done for years.

Your messages come from real data

We can connect to the system that knows an order has shipped, because we probably built one like it.

Templates that pass

Category rules cause most rejections. Ours are written to the category they belong in.

One industry, properly

We are not a general messaging platform that also happens to serve building materials.

We are still here after go-live

We run systems for clients years after building them. Setup is the start of the relationship, not the end of it.

Integration, AI and extra flows are add-ons, priced on what they involve.

Message charges are Meta’s, at Meta’s published rates, with nothing added by us. Rates vary by country and message category — Meta publishes them.

14 days free from signup. Your panel is available from day one, so you can explore it and prepare while verification runs. If Meta’s verification is still pending when the trial ends, tell us and we’ll extend it.

Onboarding

Getting started

  1. Sign up

A few details, and your panel is available immediately.

  2. Business verification

Meta verifies your business through your Business Manager. The slowest step, and the one most dependent on your paperwork being in order.

  3. Connect your number

New, or one you already use. Ask us about keeping an existing WhatsApp Business app number.

  4. Templates and flows

Submitted for approval and built out.

  5. Go live

Start with one thing that removes work, usually dispatch updates.

Verification timelines depend on Meta, not on us. We can tell you what usually holds it up, and prepare the file so it does not.

Compliance

Doing it properly

WhatsApp is strict, and accounts do get restricted. Four things matter.

Opt-in

Recorded, specific, and covering what the customer will actually receive.

Template categories

One promotional line reclassifies a utility template. The commonest rejection reason.

Restraint

Blocks and reports affect your quality rating, which affects how many people you may message at all.

Stopping when someone replies

An automated message arriving mid-conversation reads as though nobody is listening.

We set this up correctly at the start, because recovering a restricted account is far harder than avoiding one.

Before you ask

Common questions

Can we keep our existing WhatsApp number?

Often, yes. Meta supports an arrangement letting an eligible WhatsApp Business app number connect to the Business Platform while the app stays in use. Eligibility and available features vary — tell us the number and we’ll check before you commit.

What does it cost?

A platform fee from us, plus Meta’s message charges at Meta’s rates. We add no markup on messages. Talk to us for the platform fee against your expected volume.

How long until we’re live?

Verification is the variable, and it depends on Meta and on your documentation. After that, templates and flows are usually days rather than weeks.

What if a template gets rejected?

Managed: we correct and resubmit. Self-managed: we review your drafts first, which prevents most rejections. Approval is Meta’s decision, and we’ll say so honestly when a rejection is not appealable.

Can the bot handle everything?

No, and you should not want it to. It handles the repetitive enquiries and captures details for the rest. Anything requiring judgement goes to a person, with the conversation attached.

We’re already with another provider. Is moving painful?

Less than you’d expect. We move the number, rebuild the templates and get you live without losing your setup — it is a listed add-on rather than something you have to negotiate.

Do we need to change how our team works?

Less than you’d expect. Agents work from a shared inbox that looks like WhatsApp. The automated messages run without anyone doing anything.

Can we message anyone whose number we have?

No, and no provider can honestly say otherwise. The recipient must have opted in, and messaging limits apply per 24 hours.
