WhatsApp Business API for healthcare & clinics

Fewer empty appointment slots. Fewer calls to the front desk.

Patients forget appointments, ask the same questions about timings and reports, and prefer a message to a phone call. Take the routine off your reception, keep the sensitive conversations private, and fill more of your schedule.

No per-message markup. You pay Meta’s rates; we add nothing on top.

Meera Rao, Saturday morning
Thank you. Reception will confirm your slot shortly, and you will get a reminder the evening before.

Sound familiar

The phone rings all morning. The slots still go empty.

Reception spends the day answering the same calls about timings, fees and reports, and chasing patients who did not turn up. A missed appointment is a lost slot that cannot be resold.

Patients want a reminder they can read at their own pace, and a way to ask a simple question without sitting on hold.

What changes

Six things that stop costing you time

Fewer no-shows

A reminder the day before, with one reply to confirm or reschedule, fills slots that would have gone empty.

Appointment requests without phone tag

Patients send a preferred day and time at any hour, and reception confirms from a list instead of a ringing phone.

Report-ready alerts

A short message that a report is ready for collection, so patients stop calling to ask.

Follow-up reminders that get seen

A reminder when a check-up or follow-up is due, to patients who agreed to hear from you.

Routine questions answered automatically

Timings, location, doctor availability and fees, any hour, without reception picking up.

Sensitive conversations stay with a person

Anything clinical goes to your staff, never to a bot, and the messages themselves carry no medical detail.

Automated enquiry handling

A patient asks for an appointment at 8am on a Saturday. Reception has the request, with details, before the phone rings.

The bot handles the logistics and nothing clinical: when, where, who, and how much. Anything about symptoms or treatment is handed to your staff straight away.

  • Request an appointment Collects patient name, preferred day and time and the doctor or department, and passes it to reception to confirm.
  • Clinic timings and location Hours, address, parking and a map link for the nearest centre.
  • Is my report ready? Tells the patient whether a report is ready for collection, without sharing results in the chat.
  • Doctor availability Shares the days and hours of each doctor, from your published schedule.
  • Fees and packages Sends your published consultation fees and health-check packages.
  • Talk to reception Hands over to a person, especially for anything clinical.

The bot never gives medical advice and never shares results. Anything clinical goes to your staff, immediately.

Built for how clinics work

The parts specific to your trade

Privacy and a fixed schedule shape this business. These add-ons are built around that.

Appointment system integration

Reminders and report-ready messages fire from your appointment or lab system, so no one types them. We connect through the API, priced on what your system needs.

Click-to-WhatsApp ad setup

For clinics that run local ads: a flow that turns each click into an appointment request. The ads themselves stay with your team.

Additional bot flows

A separate journey for health-check packages, vaccination reminders or follow-up programmes. Quoted on what each involves.

These sit outside the base plan and are priced on what they involve. See add-ons.

Example messages

What your patients would actually receive

Four messages a clinic typically starts with. None carries clinical information, and yours should not either.

Appointment confirmed

Utility

Hi {{1}}, your appointment with {{2}} is confirmed for {{3}} at {{4}}. Reply RESCHEDULE if you need to change it.

Appointment reminder

Utility

Hi {{1}}, a reminder of your appointment tomorrow at {{2}} with {{3}}. Reply YES to confirm or RESCHEDULE.

Report ready

Utility

Hi {{1}}, your report is ready for collection at {{2}}. Please bring your reference number {{3}}.

Annual check-up

Marketing

Hi {{1}}, it has been a year since your last visit. Reply CHECKUP to see available slots for a health check.

Wording is illustrative. The category shown is what each message would normally be submitted under, and Meta makes the final decision — which is why we write and categorise yours with you.

Before you ask

Common questions

Is it safe to use WhatsApp with patients?

The platform is the official WhatsApp Business API, and we keep messages to logistics: times, places and reminders. We recommend sending no results or clinical detail in a chat, and the example messages follow that.

Do patients need to agree to receive messages?

Yes. They must opt in, and you should record when and how. We help you add consent to your registration form or front desk process.

Can the bot book directly into our schedule?

It collects the request and passes it to reception to confirm. Where you want it to book straight into your system, we connect it through the API, priced on what that involves.

Can reports be sent on WhatsApp?

We recommend a report-ready message and collection or a secure portal, rather than sending results into a chat. If you decide otherwise, that is your policy to set and your compliance team to approve.

More general questions, including cost and verification, are on the FAQ page.
